Overview As an Intake Coordinator (Receptionist), you will play a vital role in providing exceptional customer service to clients while efficiently managing the intake process. You will serve as the first point of contact for individuals seeking legal assistance for elder abuse cases, ensuring their needs are met with empathy and professionalism. This position requires strong communication skills, attention to detail, data entry, and a compassionate demeanor. Bilingual in English and Spanish. Responsibilities The Intake Coordinator is the first point of contact for clients and visitors, offering a warm welcome and ensuring a positive experience from the moment they enter the office or call. This role involves conducting initial screenings to understand the nature of legal inquiries related to elder abuse, collecting essential client information, and accurately entering data into the firm's case management system. The Intake Coordinator schedules appointments with attorneys or intake professionals, answers phone calls and emails promptly, and provides detailed information about the firm's services and procedures. Clear and professional communication with clients, attorneys, and staff is essential to ensure a smooth intake process. In addition to intake responsibilities, the Intake Coordinator maintains organized and accurate client records, prepares intake packets, forms, and correspondence, and ensures compliance with confidentiality and data protection standards. Administrative support duties include filing, copying, scanning, faxing documents, managing office supplies, and keeping the reception area clean and welcoming. The role also requires collaboration with administrative staff to support the broader operations of the firm. A key part of the position is building and maintaining positive client relationships by demonstrating empathy, patience, and professionalism. The Intake Coordinator listens carefully to clients' concerns, communicates their needs to the appropriate team members, and upholds the firm's commitment to providing high-quality service to elder abuse plaintiffs. Qualifications A minimum of 1-2 years of prior experience as a receptionist or in customer call service. The ideal candidate is bilingual in English and Spanish. Familiarity with legal terminology and law office procedures is preferred. Must hav experience and be competent in Excel, Microsoft Word, and legal case software. Strong communication and interpersonal skills, combined with a compassionate and empathetic approach, are essential. Candidates should have excellent organizational abilities, keen attention to detail and proficiency with Microsoft Office Suite and basic computer applications. The ability to multitask and prioritize tasks in a fast-paced environment, along with sensitivity to the challenges faced by elder abuse victims and their families, is crucial. Education A high school diploma or equivalent is required. Additional college education, training or professional certification in office administration or customer service is a plus. Work Environment This position operates in a professional office environment, with regular business hours and in person. Flexibility to work evenings or weekends may occasionally be required to meet the needs of the firm.
