About the Role:
We are seeking a proactive and detail-driven Import Logistics Coordinator to join our growing international operations team. This is a critical role within a high-volume, fast-paced environment responsible for managing the end-to-end coordination of imported food ingredients into North America from global suppliers. You will ensure seamless delivery of shipments from origin to warehouse or directly to customers, maintaining strict compliance with customs and FDA regulations, and accuracy in system documentation.
Key Responsibilities:
- Act as a primary liaison between overseas operations, suppliers, freight forwarders, steamship lines, customs brokers, and warehouse partners
- Ensure timely and accurate completion of all customs and FDA filings prior to cargo arrival in the U.S. or Canada
- Provide delivery orders to shipping lines with proper consignee and warehouse information
- Coordinate JIT deliveries with direct customers’ planning and receiving teams
- Track and trace containers in transit to identify delays and proactively resolve issues
- Communicate with trucking and drayage providers to confirm timely pickups and deliveries
- Troubleshoot and resolve shipping issues with steamship lines and carriers
- Monitor and approve vendor invoices including customs brokers, steamship lines, and freight partners, working closely with the accounting team
- Maintain and update shipment records, ensuring accuracy of sensitive data including food ingredient specifications and batch numbers
- Communicate shipment and PO status updates to customers and internal teams
- Collaborate daily with international planning teams to confirm bookings, documentation, and readiness of outgoing shipments
Qualifications & Experience:
- 3+ years of import logistics, international shipping, or freight coordination experience (CPG or food industry preferred)
- Strong knowledge of U.S. import procedures, customs clearance, FDA regulations, and international freight practices
- Exceptional attention to detail with the ability to manage complex and high-volume data entry
- Proven ability to thrive in a fast-paced, high-volume logistics environment (500+ containers/year; 25+ SKUs/week)
- Experience working with customs brokers and third-party logistics providers
- Excellent communication skills to coordinate with global teams, vendors, and customers
- Strong organizational and time management skills, with a sense of urgency to meet deadlines
- Proficient in logistics systems and Microsoft Excel
